LLIFT: What it Means for You

LLUH’s Financial Services and Supply Chain Management Services are changing to a shared services delivery model.
To streamline our processes, bring all LLUH entities into one single, unified technology platform, and to deliver better customer service to our internal clients.

You can sign in with your LLUH credentials by using the sign in button on right side of the screen. Click sign in, then you will be taken to a window where you can use your LLUH credentials to sign in to the system.
Oracle Sign In
Follow step 2 on the Create & Submitting Requisitions QRG
You most likely have a user security problem, and may not have requester access. To request access please call the service desk (ext. 48889) and place a LLIFT user access ticket.

Setting your requester preferences allows you to set default and favorite charge accounts. This will save you time when you frequently order for certain departments or accounts.

To set up your requester preferences see the Requester Preferences QRG.

You can find your new charge account number by following steps 8 and 9 in the Requester Preferences QRG and downloading the Requester Crosswalk Workbook.

  • The Requester Crosswalk Workbook is an excel workbook where you can match your legacy department number with your LLIFT Oracle values: company, division, department and account. (Located on two separate workbook tabs.)
  • The LLIFT Crosswalk Utility (located in your Citrix storefront) allows you to search by your legacy department to find your new LLIFT Oracle values: company, division, department and account.
    1. Click Show Other Search Options
    2. Select Legacy Department Crosswalk to view your new company, division and department.
    3. Select Legacy Account Crosswalk to view your new LLIFT Oracle Account numbers.
Item pricing is actively being updated in the system. Continue placing your order regardless of the item having a cost of $0.00. Pricing will be fixed by the LLIFT team after your requisition request is approved and your order is placed.  
If you do not see the shopping list link you need to add one item to a shopping list to cause the Shopping list link to appear. Follow steps 6 through 10 in the Create & Submitting Requisitions QRG.
Oracle Sign In
Call the service desk (ext. 48889) and have them place a ticket for the LLIFT team to correct your approver hierarchy.
If you are not receiving or seeing approval notifications, you can still view all pending notifications by click on your notifications (bell) icon in the global header. Once the notification box displays click the More Details text link. A window will pop up showing you any worklist with any pending actions. (Make sure you have allowed pop-ups from LLIFT Oracle Cloud.)
You will need to allow pop-ups for LLIFT Oracle Cloud. Your window may be blocked by the pop-up blocker.
Oracle Sign In
Category Name is a required field when creating a Noncatalog request. You must enter a category and can view a list of categories in the Create & Submitting Requisitions QRG on page 3.
You can email the Accounts Payable (AP) team at: LLMPAYABLES@LLU.EDU.  
You can email the LLUH Finance team at: LLUHFINANCE@LLU.EDU. (This address will show when you search Mercantile in the Global Directory.)
You can see the assigned buyer in the requisition line details section of your requisition record.
No. The system does not allow any user to be both an approver and requesters.
Processes where you used to use check requests should now be completed in the ORACLE system. You will create and submit a Noncatalog request. After you submit your Noncatalog request a purchase order will be created and AP will match invoices to this PO.

You can follow the life cycle of your requisitions in the system. Life cycle details show you all available shipping, receiving and invoice information associated with your requisition.

To view life cycle details you will either have a button at the top of the requisition record screen that says View Life Cycle:

Or in the requisition lines section you can scroll to the right and click on the Line Life Cycle icon to view this information per requisition line item.

Use Concur when purchasing food, travel and anything you would have previously put on an expense report. The Concur system allows you to submit for reimbursement of items you have already purchased.

Use Oracle when making purchases that previously were handled through the check request processes. Use the Oracle Noncatalog requests to create your request for purchase of items not included in the Oracle catalog.

When you have a repetitive fixed cost you can create a Noncatalog requisition item with a type by quantity and an appropriate unit of measure like Month, week, quarterly, etc.

As the invoices are sent to AP they will be matched to this PO until all your requested quantity are fulfilled.

You create a Noncatalog item choose the unit of measure that is “calendar” based (quarterly, monthly, weekly, etc.) with a quantity amount that includes your future purchases. Once the purchase order is created, invoices will be matched against the outstanding quantity on your order.
Ordering from Office Depot has not changed. Continue to sign-in and complete your order on the Office Depot website using your LLUH credentials.
Any inter-departmental/inter-campus purchases will be completed through the paper requisition process until further notice.
To order from the bookstore you will need to create a Noncatalog requisition in Oracle. The Campus Barnes and Noble Bookstore is not an internal LLUH supplier, it is an external Barnes and Noble supplier.

To view requisitions submitted by other users in your department:

  1. Click your Manage Requisitions text link

  2. Remove your personal information from the search fields
  3. Update the Entered By or Requester field with the name of the person who’s requisitions you need to see
  4. Click Search

Tips:

  • If the search fields disappear click the expand Search button to see your search fields

  • Use the Save button to save this search and use it again from the Saved Search dropdown menu in the top right of your screen
