Line Manager

EVERY DAY! Ideally, a few times a day. You are an important part of approval processes that impact payroll, benefits, compensation, and the whole HR package. You should be reviewing your notifications and tasks at least once a day.
Start by referencing the learning widget. Search for "Notifications" to see a guide about how to review tasks and messages. You can also search OOO to learn how to set up vacation back-ups when needed.

You need to submit a termination for the team member IF:

  1. The team member is taking a date gap between roles that can't/won't be covered by leave/PTO balances. OR
  2. If the employee is leaving the organization entirely. Your team members also have the ability to submit their own resignation information, if appropriate.

You DO NOT need to submit a termination for a team member if they are transferring in the organization and there will be no date gaps not covered by leave/PTO balances. The employee can apply for the new position, and the HR team can process the switch.

The Manager Self-Service has moved and is now called Leadership Toolkit. Managers will have access to important information including access links to other sites and pages. Existing and future content will be kept up to date by Human Resources.
No. The action form is no longer needed in LLEAD. You can search the widget for things like "change manager" or "change assignment" and follow the steps to submit and request changes directly in LLEAD.
You will need to notify the Core HR team to start their correction process. In the LLEAD system, it is important that Line Managers be proactive with information versus reactive. Due to the fact that all HR systems will be interconnected and interdependent, back-dating data is difficult and time-consuming.

Cutover questions

Requisitions that are entered into Taleo by midnight on December 15 will be converted to Oracle Recruiting Cloud.

Training

All training for the LLEAD project lives in the Training Widget in OracleOracle Widget We have built +250 training guides, and they are all searchable by clicking the widget icon, searching for a key word, and clicking the guide to launch in-system training guidance. 

Refer to this list to see the guides available in the Learning Widget.

Watch this video! It gives in introduction tour of the what the system will look like, how to get started in the training widget, and how to find the training help you need right when you need it. This video will also be available the first time you log in as a refresher if needed.
The training guides are restricted by your role so you only see guides relevant to you. If the guide starts with Employee, it is useful for you to find your own, personal employment information. Line managers will also see guides that start with Manager which outline how to complete line manager tasks. Members of the HCM and Payroll teams will also see guides related to their area of expertise. (Compensation, Benefits, Payroll, Recruiting, Onboarding, Core HR, etc.)
There will not be classroom training. The training widget guides will provide the steps you need, directly in the system, right when you need them.
You can! From the training widget, instead of clicking the name of the guide to launch the steps immediately, you can click the ellipses (...) next to the training guide and select Job Aid. This opens a separate, movable window with the training guide steps. opens a separate, movable window with the training guide steps
You don't! You can click the X in the corner of any guide step to close it whenever you're comfortable navigating without it.
Two things:
It may be because you don't have access to that feature, which causes the guide to stop. This is intentional.
It may be that you got ahead of the guide steps. Simply re-open the guide from the widget to reopen the guide as needed.
Always start your search from the Home Page. That shows you the full list of guides to open and use, and it is often the first step of the guide.

There are a few things to try!

If those don't work (or you need help testing the options above), call the HR Service Center (x14001).

  1. The widget should work in all Internet Browsers, but Chrome is the preferred browser. Try opening LLEAD in a Chrome browser to get the widget to appear.
  2. Ensure you do not have a third party extension blocking pop-ups in your browser.
  3. As a last resort, you can try opening an Incognito window using the triple dot button in the top right of the browser (See the screenshot)

Separations/Resignations

NO! Employees and managers should start the termination submission in LLEAD as soon as possible to prevent delays to approvals and final payouts. There are different date fields to enter when you were notified versus the actual last day. Refer to the Employee or Manager widget guides regarding termination/resignation for specific step guidance.
  • Employees can submit their resignation notice or retirement notice in LLEAD for themselves. They can search for "resign", "retire", etc. in the widget to find the appropriate employee guide.
  • Managers can also submit a separation or resignation for their team members using the widget for guidance. Managers can search for many terms in the widget to find the Manager - Submit a Termination for a Team Member guide. Refer to the list of guides in the first question of the Training section to see the full list of search terms and guides.
You can search for "status" or "progress" or several other search terms to find the guide in the widget to review the status of items you submitted. Refer to the list of guides in the first Training section question to see the full list of search terms and guides. Please note, if you are a manager, you can only see the status of actions you created. You will not be able to see the status of a resignation submitted by an employee. To know the status of your employee’s resignation, please contact HRM at ext. 14001.

You still do! When an employee is leaving the organization, you will be assigned an Offboarding Journey. Refer to the learning widget for guidance as needed to complete those Offboarding Journey tasks.

Absence

Yes, Line Managers will have access to view PTO balances, accruals, and when Kincare was used to assist in Kincare tracking. Line Managers will also have access to view CAPSL and Legacy Sick balances if applicable. (Note: My Leave is still a separate system that is required.)
Yes. While absences are available to view in self-service, employees are still required to report protected leaves (such as FMLA) in the My Leave system.
Yes, employees can now see their full CAPSL accrual in LLEAD self-service and on their pay slip. (Note: API will still only show what is available for use in the pay calendar year.)

Benefits

You can review your most recent pay slip by visiting the Payroll tile from the LLEAD Home Page, or you can log into your retirement company's website.

Onboarding

You can check your candidate's onboarding progress through the Journeys tile in My Client Group and search candidate's name.
Search name in Person Management, click Personal and Employment, and click Document Records to view uploads.
Notify the Recruiter. The Recruiter will submit a correction form to Data Ops to update the system.
You can use LLEAD self-service to re-submit your selection. Search for the word "meal" in the Learning Widget.

Compensation

You can use LLEAD self-service to re-submit your selection. Search for the word "meal" in the Learning Widget.
Search for the term that you're looking to request (tuition, cell phone, etc.) in the Learning Widget. It will show the guide that will allow you to submit that requisition, now called a Compensation Request in LLEAD.
Yes. There are guides in the Learning Widget that discuss how to View Salary Information, View Compensation Change Statements, and/or Submit Compensation Requests for a Team Member. Search for the term you need to view to get started.

Recruiting

Yes, an employee can refer an internal candidate to a job from the Opportunity Marketplace tile on the LLEAD Home Page.
An employee can apply to an internal job through the Opportunity Marketplace tile on the LLEAD Home Page.
You can schedule interviews in Job Requisitions under Interviews (tile?). Search for "interviews" in the Learning Widget for more step-by-step details.
It will show it on the candidate's profile in LLEAD.
You will get a notification in the LLEAD system (under the bell icon) and via email.
You may send an email to HRMRecruiter@llu.edu to inquire who your recruiter or onboarding specialist is.

Your Recruiter will be able to link your candidates to another recruiter, and or refer candidates to apply to the requisitions you want.
You will be able to schedule interviews, thru the system with the Interview Tab.
Internal applicants will not be required to complete a new profile in the new system. Your current employment information will transfer over. When applying you will be able to update your resume, skills and qualification before completing your application.

Payroll

Cash Advances can be requested by clicking show more and then manager personal compensation. Click Add and select Pay Advance.
Federal taxes (W4) and reginal taxes (CA DE4) can be updated by clicking on pay and then click on tax withholding. From this screen you can update under each section as needed.
Direct Deposit updates can be made by clicking on Pay and then click on Payment Methods. Your bank account can be added under Bank accounts and then also make the election under My Payment Methods after the new bank has been added.
Prior records will be available in PeoplePortal until March of 2024.
Pay slips prior to 2023 can be viewed in PeoplePortal until March of 2024. To view current pay slips in LLEAD Self Service click Pay, Click My Pay Slips.

General

Call the HR Service Center (x14001).
The Marriage date field in LLEAD is populated with the date that the marriage status was updated. HR is not provided with the actual wedding date.
Public Info displays your work location and work phone number. This is the info that is displayed to others in the organization. You cannot control what is displayed.
You can updated your address by clicking show more and then click on the Contact Info tab.
The learning widget has a guide called Employee - Resign from Employment. Follow the steps in that guide.
