Calendar Year Process Timeline

The below timeline provides an overview of the record process cycle throughout the calendar year. The time frames are approximate unless otherwise specified and unchanging dates are listed. Non-term programs may have varying timeframes and may use this timeline as a rough guide. It is always a good idea to look at the Master Calendar if questions arise on specific dates.

January

Beginning
  • Winter courses begin for standard term programs
  • Schools continue to finalize course schedule for next academic year
  • Schools send degree list with reviewed Degree Compliance Reports (DCRs) to University Records to award degrees for autumn graduates (25 calendar days from the end of program completion)
Mid
  • Roster II sent out - due one week later
End
  • University Records finalizes course schedule for the next academic year

February

Beginning
  • University Records publishes course schedule to the web for next academic year
  • Schools complete final course schedule adjustments for upcoming summer term - including posting textbook information in the Academic Management System (AMS)
End
  • Spring registration begins for standard term programs
  • Schools ensure students intending to graduate spring term have registered for all unmet requirements

March

Beginning
  • March 1: Last day for School to submit approved academic variances to University Records for students completing in the upcoming autumn term
Mid
  • Winter courses end for standard term programs
  • Grades due for standard term courses
  • Schools finalize grad lists for ordering of regalia and commencement ceremony program
End
  • Spring courses begin for standard term programs

April

Beginning
  • April 1: Last day for student to submit graduation petition to school for processing for students completing in the upcoming autumn term
  • Schools send degree list with reviewed Degree Compliance Reports (DCRs) to University Records to award degrees for winter graduates (25 calendar days from the end of program completion)
  • Roster II sent out - due one week later

May

Beginning
  • May 1: Last day for School to submit graduation petition to University Records for students completing in the upcoming autumn term
Mid
  • Schools complete final course schedule adjustments for upcoming autumn term - including posting textbook information in the Academic Management System (AMS)
  • Summer registration begins for standard term programs
  • Schools ensure students intending to graduate summer term have registered for all unmet requirements
End
  • Commencement ceremony for Schools of Dentistry, Medicine, and Pharmacy

June

Mid
  • Spring courses end for standard term programs
  • Commencement ceremony for Schools of Allied Health, Behavioral Health, Nursing, Public Health, and Religion
  • Summer courses begin for standard term programs
  • Grades due for standard term courses
End
  • Roster II sent out - due one week later

July

Beginning
  • July 1: Last day for School to submit approved academic variances to University Records for students completing in the upcoming winter term
  • Schools send degree list with reviewed Degree Compliance Reports (DCRs) to University Records to award degrees for spring graduates (25 calendar days from the end of program completion)

August

Beginning
  • August 1: Last day for student to submit graduation petition to school for processing for students completing in the upcoming winter term
Mid
  • Schools complete final course schedule adjustments for upcoming winter term - including posting textbook information in the Academic Management System (AMS)
End
  • Autumn registration begins for standard term programs
  • Schools ensure students intending to graduate autumn term have registered for all unmet requirements

September

Beginning
  • September 1: Last day for School to submit graduation petition to University Records for students completing in the upcoming winter term
  • University Records sends part of term dates to the schools to revise for the next academic year
  • Summer courses end for standard term programs
  • Grades due for standard term courses
Mid
  • Schools revise and submit part of term edits to University Records (possible for multiple edits over the next month before the process is finalized)
End
  • Autumn courses begin for standard term programs
  • Schools send degree list with reviewed Degree Compliance Reports (DCRs) to University Records to award degrees for summer graduates (25 calendar days from the end of program completion)

October

Beginning
  • October 1: Last day for School to submit approved academic variances to University Records for students completing in the upcoming spring or summer terms
  • Roster II sent out - due one week later
Mid
  • University Records finalizes part of term dates

November

Beginning
  • November 1: Last day for student to submit graduation petition to school for processing for students completing in the upcoming spring or summer terms
  • University Records rolls course schedule and sends to schools to revise for the next academic year
Mid
  • Schools complete final course schedule adjustments for upcoming spring term - including posting textbook information in the Academic Management System (AMS)
  • Schools revise and submit course schedule edits for next academic year
End
  • Winter registration begins for standard term programs
  • Schools ensure students intending to graduate winter term have registered for all unmet requirements

December
