LLU Accounting

Refer to requisition life cycle in Oracle and/or reach out to Accounts Payable. LLU GL team helps coordinate inquiry efforts.
LLU GL Team can generate detailed transaction reports by general ledger or subledger based upon end-user needs. FP&A provides an LLU reporting dashboard with budget reports and financial reports located on their SharePoint site. FP&A can connect users with data models to connect excel with Oracle financial data.
Fund balance reporting is in development as Financial Services works with FP&A to develop accurate reporting. Fund transaction detail can be provided by LLU GL Team.

Accrual JV’s that are otherwise processed by AR, AP, Intercompany, & Capital Assets modules..... Audit trail: Correction/adjustments/restatements/reclasses

Philanthropy services sends fund agreement to GL finance (Rebecca Choy)

GL finance forwards the fund agreement and an online application link to the department head

Ticket is created for the new fund account, reviewed/approved by Financial Reporting Director (Carla Smith)

SHARED SERVICES

No. LLUH employs some of the officers and VPs but not all
The LLUH audited statements do not include all LLUH affiliates, just LLUSS, LLUH (Admin), RM (Admin) and Merc

TREASURY

Hours for drop-off – 1pm to 4pm, Monday through Thursday

Treasury handles deposits for all entities except for Faculty Physicians and Surgeons (FMG) and Loma Linda University Health Care (LLUHC)

You can send checks for deposit through inter-campus mail, drop-off to a member of Treasury is preferred; but NEVER send cash through inter-campus mail.

It’s best to keep a copy of any checks sent to Treasury for deposit

Always include contact information with anything sent to Treasury including items for deposit

You must provide a GL Account string with any deposit; GL strings consist of: Company (3 digits), Division (4 digits), Department (5 digits), Fund (6 digits), Account (6 digits), Project (6 digits) – in many instances a GL account string may only be a 3 digits company and a 6 digits account with all other segments being zeroes

Contact the Treasury Manager or Director if you want a review of your Department’s deposit volume that might result in additional services including Sectran armored pick-up, Credit/Debit card machines, self-deposit, and other services

Treasury can track payments and confirm receipts by an outside party.

Treasury can wire money internally and to outside parties. However, we will not wire funds without the payment approval process completed. The payment approval process is handled by Accounts Payable, NOT Treasury.

The best contacts for these services are either the Treasury Manager (Mateo Hernandez) or Director (James Hughes).

Treasury maintains the relationships with our Primary Bank, Bank of America, and primary Merchant Service provider, FISERV

If you need bank related data to handle your employment responsibilities or would like to explore obtaining a credit/debit card terminal, contact the Treasury Director or Treasury Manager.

If you have questions regarding tracking credit card, deposits, and other receipts, Treasury can provide data and suggest alternative approaches enabling you to track transactions.

Treasury creates cash forecasts and compares those projections to actual results. Treasury uses those forecasts to ensure adequate cash is on hand to pay payrolls, vendors, and bi-annual bond interest payments.

Treasury also publishes a daily cash report providing bank balances daily.

TAX

Sales Tax is recorded to the same GL account as the invoice.
No, we collect and remit sales tax on a monthly and quarterly basis.
Yes, our University and Hospitals facilities are exempt. However, we are not 100% exempt on some real estate and tangible personal properties owned.
