Please share documents electronically

Unnecessary printing wastes paper and costs money. Please help us with our hospital’s Print Savvy Initiative. This month’s tip is to share documents electronically when possible.
Our healthcare facility has invested in technology platforms and programs that allow for quick, environmentally friendly ways to share information.
Please consider these options before printing:
Email: Rapid distribution of information to team or committee members.
Electronic Newsletter: Consider an electronic newsletter as an environmentally friendly option for sending information and announcements.
Scanning Documents: This is an ideal way to store files on your computer that can be disseminated electronically.
Shared Drives: Sharing documents electronically within a department through the use of shared drives is a great way to eliminate excess printing and copying.
Electronic Fax: Forward Advantage/RightFax software is designed to allow outbound faxing through the computer. A desktop fax application can be installed on your workstation providing you with the capability to send a manual fax. It is an environmentally friendly way to improve workflow efficiency.
And as always, you can contact Document Services at ext. 45938 for consulting on implementing our Print Savvy Initiative. These include:
- Device Needs Assessment
- Equipment Training
- Workflow Efficiency Evaluations
- Utilization Tracking and Device Inventory
Thank you for helping us conserve resources.
Please use secure networking
Making sure your devices are networked is an important part of our security as well as our Print Savvy Initiative.
There are multiple advantages to having your devices networked:
- Connecting devices to the network assists the hospital in being environmentally conscience because it reduces the number of devices utilizing energy and consumables. It also increases redundancy in the event of equipment down-time.
- Networking capable devices can then remove unnecessary devices and free up workspaces at desks, counters, and nurse stations.
- Networking multifunctional devices allows the department to print, fax, scan, and copy all in one device. You can then scan documents and send them through email to a department or physician rather than faxing or interoffice mail.
Here is now to get all devices networked in your department?
1. Simply call the helpdesk at ext. 48889 and request for Vereco to complete an assessment of the devices in your area.
2. We will schedule an appointment with a manager or director to evaluate your current setup, devices, and network access.
3. Once the device is networked, we will run a test page for each end-user or desktop in the department to ensure everyone has access to the machine and can print to the newly networked device.
